Empezar
Cobros, facturas y contratos
¿Cómo cobro a mis clientes con tarjeta?
Configuración → «Plan & Storage» → tarjeta «Cuenta bancaria» → «Conectar cuenta bancaria».
¿Cómo exporto mis datos o elimino mi cuenta?
¿Cómo agrego a mi equipo?
El plan Business permite hasta 3 usuarios. Los invitas en Configuración → pestaña «Equipo».
¿Y Messenger e Instagram?

Getting started
How do I get started?
Create your account at luxstory.app/get-started: you get a 14-day free trial and no card is required. The first time you sign in, Nova (the dashboard assistant) welcomes you and walks you through the basics: your profile, your brand (Pro and Business plans), your portfolio and your first client. If you close it, pick it up again by typing “guía de inicio” in Nova’s chat.
What does each plan include?
- Starter, $29/mo: 600 GB (photos and video share the same space), video up to 1080p, 1 user.
- Pro, $59/mo: 1.5 TB, 4K video, your own logo and colors, AI-written text, Automations, and AI Highlight and Reel.
- Business, $99/mo: 3 TB, everything in Pro, up to 3 users, custom domain, priority support, Messenger and Instagram, and the studio API.
Every plan includes full analytics and there is no limit on projects: the cap is storage. Current prices are at luxstory.app/get-started.
What happens when the free trial ends?
We email you three days before the end if you haven't added a card yet. If it ends without a card, your account goes into limited mode: you can sign in and view and download everything, but you can't upload files or create projects or galleries until you add a card in Settings → “Plan & Storage”. What you already uploaded stays saved. Once a card is on file, billing is automatic. You get a full refund during the first 14 days.
How do I change plan, change my card or check my storage?
Settings → “Plan & Storage” tab. There you see how much you have used and can change plan or card. If space fills up, we email you at 70, 85, 95 and 100%, and we never delete anything on our own.
How many AI credits do I get and what uses them?
Each month you get AI credits based on your plan: Starter 150, Pro 350 and Business 600. They are spent when you generate content with AI (for example the Highlight, the Reel or text). You can see your usage on the Dashboard, in the AI credits card. When they run out, AI pauses until next month or until you buy more in Settings.
Your clients and their portal
How do I invite a client to their portal?
Contacts → the “⋮” button on their card → “Send invite” (if you already sent one it says “Resend invite”). A window opens with their email and an optional personal message; when you send it, the client gets a link valid for 48 hours to create their password. The contact's tag updates by itself: “Not invited” → “Invite sent” → “Invite opened” → “Active account”.
What does my client see in their portal?
Their projects and galleries, messages with you, their documents (contracts to sign and invoices), their appointments, and they can pay invoices by card if you connected your bank account. They sign in without installing any app and can use several devices at once.
How do I share a gallery with my client's family member?
There are two ways. You: on the gallery card tap “⋮” → “Share” and use “Generate and copy link” (expires in 90 days; you can password-protect it) or “Send by email”. “Create another link” makes a new one with a label (for example “Bride's family”) so you can revoke them separately. Your client: from their portal tap “Share” on the gallery and choose “Link” (copy it or send it by WhatsApp, Facebook, X or email) or “Invite” (a family member with their own account, view-only; up to 10 people per gallery).
The “Active links” list shows views, expiry and who you sent each link to, and you can “Revoke” at any time: the link stops opening immediately.
What are “Save to my account” and “Shared with me”?
Anyone who opens a gallery with a shared link sees the “Save to my account” button. They enter their email, receive an access link, and the gallery appears under “Shared with me”, with no password to remember. It is view-only: it does not include the client's messages, invoices or contracts, and downloads are off unless the client ticks “Can download” when inviting. If you revoke the link or it expires, the gallery stops appearing.
My client hired both a photographer and a videographer on LuxStory. How do they see everything together?
If each studio adds them with the same email and the client has opened each studio's link at least once, they get a single portal with galleries, appointments, invoices, contracts and messages from both, each item labeled with its studio. They sign and pay each studio separately, and choose which one to message. You only see your own: never the other studio's contracts, invoices, appointments or messages, and “View as client” shows only your studio.
How do I share a project link or see the portal the way my client sees it?
Open the project and tap “⋮” at the top right: “Copy link” copies the portal link (valid 30 days), “Regenerate link” invalidates the old one and emails the new one to the client, and “View as client” opens the portal exactly as they see it, without counting views or marking “last visit”.
Galleries, video and photos
How do I upload photos from Lightroom?
With the LuxStory Lightroom plugin. You generate the key (API key) in Settings → “Integrations” tab, paste it into the plugin, and publish your collections straight into a project gallery.
How do I generate the AI Highlight and Reel?
It needs the Pro or Business plan and an already processed film (status “Online”). In the video's gallery, “Design” tab: “Highlight” card → “Create with AI”, or “Reel” card → “Generate with AI”. You pick the music and, for the Highlight, a style; the reel installs itself when it finishes. It uses AI credits. If you edited your own, on any plan you can upload it with “Upload from computer”.
How do I set up the video Chapters?
In the same gallery “Design” tab, “Chapters” card. There are two ways: “CSV”, for Premiere Pro editors (export your markers and upload the file), or “Manual”, where you add each chapter with its title, time and image, plus the “Skip Intro”. Finish with “Generate thumbnails” and “Save chapters”.
My storage is full. How do I free up space?
Delete only the gallery (photos and video, the only thing that takes space), not the contact or the project, so you keep the client's history: Files → client → project → gallery → “⋮” → “Delete gallery”. Deleted items sit in the trash for 30 days, don't count against your quota and can be restored. Another option is the Vault (next question), which moves a project out of your quota in exchange for a separate subscription.
What is the Vault?
It's “Keep forever”: it protects a project so it is kept even if you cancel your plan, and it doesn't count against your storage. It costs $12 a year per project up to 30 GB, $19 a year up to 60 GB, $32 a year up to 100 GB and $55 a year up to 200 GB (billed once a year; for projects over 200 GB, contact us for a quote), and either the videographer or the client can pay for it from their portal. While it is active the project's content can't be deleted and new content can't be uploaded to it. Turn it on from the project's “⋮” → “This project’s Vault”; a closed green padlock means it is protected.
What is Live Moments?
It's a QR code that lets event guests upload photos and video from their phones without creating an account. Generate it from the project's “Design” tab → “Apps” → “Live Moments (guests)”. Apps (Invitations, Slideshow and Live Moments) are part of the Business plan.
Payments, invoices and contracts
How do I charge my clients by card?
Settings → “Plan & Storage” → “Bank account” card → “Connect bank account”. You accept the payments terms and complete your details on Stripe. When it's ready, your client sees “Pay now” on their portal invoices and the money goes to your Stripe and bank account (deposits take about 7 days at first). More detail in the Terms, section “Charging your clients with Stripe”.
How much does it cost to collect an invoice?
There is no extra monthly fee: the per-payment fee already includes what Stripe charges. Card, Cash App and Amazon Pay: 3% + $0.30. Bank transfer (ACH): 1.5%. Example: a $1,000 card payment leaves $969.70 in your bank; by bank transfer, $985.00.
How do I create an invoice?
Open the project (or the contact's page) → “Documents” tab → “New document” → “Invoice / Receipt”. Add services or packages, tax if it applies and the payment plan if you charge in parts, then save. The number is assigned automatically. Statuses are pending, paid, overdue and cancelled. An invoice paid by card can be refunded from its “⋮” menu.
How do I create and send a contract?
Project (or contact page) → “Documents” → “New document” → “Contract” → “Choose template”. A draft is created with the client and project data (the package, price, deposit and balance come from one of the project's invoices). Before you send it, “Send to client” warns you which fields are still empty. A contract that was already sent or signed is locked.
How do coupons and discounts work?
In the “Coupons” side menu you create codes for your clients (percentage or fixed amount, with optional maximum uses and expiry date). Share your portfolio link with ?coupon=CODE; the discount is applied to the invoice, before tax. Separately, the invoice form has a “Manual discount” ($ or %) with an optional note. The client can also type a coupon in their portal, inside the open invoice, under “Have a coupon?”; that field only shows if the invoice is pending, has no discount and has no payments.
My client already paid and forgot their coupon. What do I do?
You can add it: open the invoice → edit, type the code in “Coupon” (or use “Manual discount” with a note) and save. The total goes down and the balance is recalculated; payments already made are untouched. If the discount leaves the total below what they already paid, the difference has to be returned: for a card payment, the invoice's “⋮” → “Refund”.
Account, security and integrations
How do I change my password or email?
Password: Settings → “Security” → “Password”. Sign-in email: Settings → “Profile” → “Change email” (it asks for your current password and sends a verification email to the new address; your sessions are closed and you sign back in with the new email).
How do I turn on two-step verification (2FA)?
Settings → “Security” → “Two-factor authentication (2FA)” → turn on. Scan the QR code with an authenticator app (Google Authenticator, Authy, 1Password…), type the 6-digit code and save the 8 backup codes, which are shown only once. If you ever lose your phone and the codes, email contact@luxstory.app from your account's email so support can verify your identity.
How do I export my data or delete my account?
Settings → “Security” → “Your data” card → “Export” → your current password → “Download ZIP”. It includes contacts, projects, invoices, contracts, messages, leads, forms, templates and the gallery listing (JSON, and CSV for Excel for contacts, invoices and leads). It does not include passwords or the photo and video files, which you download from each gallery. Only the account owner can export. Deleting the account is in the same tab, under “Danger zone”; after cancelling you have 30 days to reactivate or download your content.
How do I connect Google Calendar?
It is on the Pro and Business plans. Settings → “Integrations” → “Google Calendar” card → “Connect with Google” and accept the permissions. Appointments you create or change in LuxStory are copied to your calendar (one way) and we never read your other events: changes you make directly in Google do not block time slots in LuxStory. “Disconnect” cuts the connection and deletes the stored access. Details in our privacy policy, section 12.
How do I add my team?
The Business plan allows up to 3 users. Invite them in Settings → “Team” tab.
What about Messenger and Instagram?
Business plan only: “Facebook Messenger and Instagram” card in Settings → “Integrations”. Automatic replies to real clients depend on Meta approving LuxStory's messaging permission, which is still under review; meanwhile you can connect the Page, but don't count on it answering by itself.
Support
How do I talk to a person?
Inside the dashboard, open the Nova button (bottom right) and switch to “Live chat”: during service hours (Monday–Friday, 9:00 a.m.–6:00 p.m. Texas time) we reply in about 1–2 hours; outside those hours, the next business day. Nova (the AI) answers at any hour. You can also create a ticket from there, or write to support@luxstory.app or contact@luxstory.app (reply within 24 hours). More in Contact and support.
What is Nova and what can it see of my account?
Nova is the dashboard's AI assistant: it answers how-to questions about LuxStory and guides you when you start. It sees your plan, your storage and credit usage, the section you have open, and general counts for your studio (how many contacts, projects or pending invoices you have). It does not see client names, emails, amounts or the content of your messages. What you type to it is processed by AI providers (see the privacy policy), so don't type your clients' personal data there.
